Reports to: Airports Development Manager
Location: Head Office
Job Purpose:
To provide seamless secretarial and administrative support for the Airports Development Department and its projects.
Duties and Responsibilities:
- Serve as the primary contact between the manager and both internal and external clients.
- Screen and direct phone calls, and manage correspondence efficiently.
- Address and manage requests and inquiries appropriately.
- Organize and maintain the manager’s diary, scheduling meetings and appointments.
- Arrange travel logistics for department personnel.
- Take dictation and accurately record meeting minutes.
- Oversee office supplies and manage inventory.
- Prepare reports, presentations, and briefings as required.
- Develop and maintain an effective office filing system.
- Ensure prompt communication of information to clients.
- Type various departmental documents accurately.
Project Responsibilities:
- Timely production of rebate letters for the Ministry of Transport and Infrastructural Development, ZIMRA, and the Ministry of Industry and Commerce.
- Liaise with Immigration and ZIMRA personnel at ports of entry.
- Facilitate the issuance of security passes for contractors and subcontractor personnel.
- Coordinate vehicle passes utilized on projects.
Qualifications and Experience:
- Minimum of 5 ‘O’ Levels including English.
- Diploma in Secretarial Studies or related field.
- At least 3 years of relevant work experience.
Skills and Competences:
- Strong secretarial etiquette and professional demeanor.
- Excellent office management capabilities.
- Proficient in minute writing.
- Public relations and customer service skills.
- High level of computer literacy.
- Strong communication and interpersonal skills.
- Keen attention to detail.
- Effective time management skills.
- Professional appearance and grooming.
- Ability to work well under pressure with minimal supervision.
