Job Title: Training and Development Assistant
Reports to: Training and Development Manager
Location: Airports Company of Zimbabwe Head Office
Job Purpose
The Training and Development Assistant position provides essential administrative support in the planning and delivery of all training programs within the department.
This includes managing logistics for courses and conferences, as well as preparing and updating course rosters.
Duties and Responsibilities
- Provide administrative assistance to the Training and Development department.
- Arrange booking for training personnel, trainers, venues, travel, accommodation, and facilities for training programs.
- Maintain a calendar of training and development programs for the department.
- Take minutes during Training and Development departmental meetings; type and distribute them afterward.
- Organize and prepare materials and supplies for training courses.
- Input and maintain data in the training database.
- Oversee maintenance and records of training equipment.
- Communicate course requirements and details to delegates, facilities, trainers, and external suppliers within agreed timelines.
- Assist in scheduling and registration for training courses and conferences; prepare and update course rosters.
- Monitor and collate evaluation forms for training and development programs.
- Produce and maintain accurate electronic and manual training and development records.
- Order, store, and manage departmental stationery supplies.
- Maintain and update the training asset register for the department.
- Sort and file departmental documents.
- Make travel arrangements and accommodations for trainers and facilitators.
- Follow up on training payments in coordination with the Finance department.
Qualifications and Experience
- Higher National Diploma in Training and Development, Human Resources Management, or an equivalent qualification.
- A relevant degree is an added advantage.
- Minimum of 1-year post-training experience in a similar role.
Skills and Competences
- Effective written and oral communication skills.
- Knowledgeable in training procedures and techniques.
- Proficient in using computers and applicable software.
- Strong ability to communicate effectively.
- Solid numerical ability and problem-solving skills.
- Excellent organizational skills with the ability to prioritize and adapt to changing environments.
- Good office-based administrative skills related to Training and Development.
- Respect for confidentiality in handling sensitive information.
