Job Title: Administrative Assistant (Administration & Human Resources) | External

Purpose of the Job
The Administrative Assistant will provide essential support to the Director of Administration and Human Resources, as well as assist with all functions within the department. This role is pivotal in ensuring the smooth running of administrative and HR operations.

Responsibilities

  • Calendar Management: Organize and manage the Director’s diary, including scheduling appointments, meetings, and conferences.
  • Communication Handling: Screen and manage phone calls, emails, and correspondence directed to the Director.
  • Documentation and Filing: Maintain and organize important documents, records, and files relevant to the Director’s Office.
  • Meeting Coordination: Schedule meetings, prepare agendas, take minutes, and ensure follow-up on action items.
  • Travel Arrangements: Handle travel logistics for the Director, including booking flights, hotels, and transportation, along with preparing travel itineraries.
  • Correspondence: Draft and prepare various forms of correspondence, including letters, memos, reports, and presentations.
  • HR Support: Assist the HR department with recruitment processes, onboarding new employees, and maintaining employee records.
  • Administrative Support: Provide general administrative assistance, such as managing office supplies, processing invoices, and other daily administrative tasks.
  • Confidentiality: Uphold the confidentiality of sensitive information with discretion in handling confidential matters.
  • Reports: Compile data and prepare reports on various HR and administrative issues as required by the Director.
  • Other Duties: Take on additional responsibilities as assigned by the Director.

Qualifications

  • 5 O’ Levels including English and Mathematics/Accounts
  • 2 A Levels or Equivalent
  • Diploma in Secretarial Studies
  • Degree in Social Sciences or Human Resources-related field is an added advantage

Experience

  • A minimum of 2 years’ related experience in a similar environment.

Competencies

  • Ability to prioritize tasks and manage time effectively
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office Suite
