Job Vacancy: Administrative Assistant (Finance)

Purpose of the Job
The Administrative Assistant (Finance) position offers essential support to the Director of Finance and assists across various functions within the department.
This role is crucial in maintaining organized operations and effective communication, contributing to the overall success of ZINARA.
Responsibilities
- Calendar Management: Organize and manage the Director’s diary, including the scheduling of meetings, conferences, appointments, and deadlines.
- Communication Handling: Screen and manage all phone calls, emails, and other communications on behalf of the Director, ensuring timely responses and information flow.
- Documentation & Filing: Maintain and organize critical documents, records, and files pertaining to the Director’s Office.
- Meeting Coordination: Schedule and coordinate all meetings on the Director’s calendar, including preparing for meetings, communicating agendas, taking minutes, and following up on action items.
- Expense Management: Oversee expenses related to the Director’s office by processing invoices, tracking budgets, and ensuring compliance with financial policies and procedures.
- Travel Arrangements: Organize travel arrangements for the Director, booking flights, accommodations, and transportation for business trips.
- Confidentiality: Uphold the confidentiality of all information and documents in the Director’s Office.
- Cross-functional Collaboration: Collaborate with other departments to ensure alignment and coordination on finance-related issues.
- Other Duties: Perform any additional tasks as assigned by the Director.
Qualifications
- Minimum 5 O’ Levels including English and Maths/Accounts.
- 2 A Levels or equivalent.
- Diploma in Secretarial Studies.
- Degree in Accounting, Finance, or a related field is an added advantage.
Experience
- A minimum of 2 years of related experience in a similar environment.
Competencies
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office Suite and relevant software.
