FUNCTIONS OF THE POST
Under the overall authority of the UNESCO Regional Office Director for Southern Africa, and the guidance of the Head of the Education Unit, the incumbent will provide programme and administrative support to UNESCO’s initiatives, particularly in the Global Partnership for Education (GPE) and the Facility for Action for Climate Empowerment (FACE NDC) to achieve National Determined Contributions (NDC) activities.
Key Responsibilities:
Programme Administration and Support:
- Assist with administrative and logistical arrangements for meetings, events, and workshops related to GPE and FACE NDC activities.
- Support vehicle and conference room bookings for sector activities.
- Take minutes and prepare presentations and documents for meetings as needed.
- Maintain an organized filing system for efficient documentation retrieval.
- Assist in producing communication materials, publications, and brochures to enhance sector visibility.
- Communicate effectively with stakeholders and partners for smooth activity implementation.
- Conduct literature reviews and gap analyses for the development of concept notes.
- Update and manage a database of stakeholders and partners.
Financial Management:
- Prepare payment requests upon delivery of goods or services, ensuring timely payment to service providers.
- Ensure acquittal reports for project activities are complete and submitted to the finance office promptly.
- Generate financial reports to support program activity implementation.
Procurement:
- Process contracts and purchase orders for program/project support.
- Monitor contract deliverables to ensure timely submission by partners and service providers.
- Facilitate the registration of new consultants and service providers as vendors.
- Organize travel arrangements for staff and delegates attending events.

REQUIRED QUALIFICATIONS
- Education: A first-level degree in Social Sciences, Business Administration, Management, or a related discipline.
Desirable Qualifications:
- Work Experience:
- Minimum of 1 year in secretarial, administrative, or programme support services.
- Experience in an international organization or the UN System is advantageous.
- Ability to manage a high volume of work in a fast-paced environment.
- Experience with web-based IT business applications (e.g., Microsoft SharePoint, contract management).
Skills:
- Excellent communication skills, with the ability to draft and proofread documents in English.
- Strong organizational and filing skills.
- Ability to interact with diverse partners with discretion and diplomacy.
- Proficient in MS Office and collaborative IT platforms (e.g., Microsoft Teams, Zoom).
- Knowledge of procurement procedures is a plus.
- Sensitivity to cultural diversity and the ability to work in a multicultural environment.
Language Requirements:
- Fluency in English (oral and written); knowledge of a local language is an asset.
